Macquarie University Health is seeking experienced, service-oriented Patient Admissions Officers to join the Patient Services team at Macquarie University Hospital, located on the Wallumattagal Campus in North Ryde. Two permanent positions are available, which can be structured as full-time or part-time, and we are looking for people who want to build a long-term career within a private hospital environment. If you understand the administrative, financial and customer service demands of private healthcare, and you enjoy being the person who sets the tone for a patient's experience, this is a genuine opportunity to make a meaningful difference from the very first point of contact.

About The Role

The Patient Services team is central to delivering a seamless and positive journey for every patient, supporting key touchpoints including bookings, pre-admission, front desk reception, switchboard and inpatient admissions.

Working in a private hospital, you will manage far more than a booking diary. You will confirm health fund eligibility and funding pathways, support patients to understand their financial position before admission, and ensure every record is accurate and compliant. Working within a collaborative and supportive team, you will liaise closely with clinical and non-clinical colleagues, specialists and their rooms to support the smooth operation of hospital services and uphold a consistently high standard of patient-centred care.

Key areas of responsibility include:

  • Managing patient bookings, pre-admission processes and appointment coordination, including liaison with specialists' rooms.
  • Admitting patients to the hospital and completing all required admission documentation accurately and on time.
  • Performing private health fund eligibility checks, confirming patient and funding details, and supporting informed financial consent for insured, self-funded, WorkCover and third-party patients.
  • Providing front desk reception and maintaining the hospital main switchboard, responding to enquiries in person and over the phone.
  • Managing competing priorities in a fast-paced admissions environment while maintaining accuracy in line with legislative and organisational requirements.
  • Identifying and escalating issues or discrepancies promptly, and contributing to a positive, professional and team-focused work environment.

About You

You are a professional and approachable administrator with practical experience in a private hospital or healthcare setting, and you understand how private healthcare differs from the public system. You are detail-oriented, calm under pressure, well-organised and genuinely interested in a stable, ongoing role where you can grow with a team over the long term.

Selection Criteria

  • Demonstrated experience in a healthcare reception, bookings or patient administration role, ideally within a private hospital or private practice environment.
  • Working knowledge of the private hospital environment, including private health fund eligibility checks, excess and co-payment discussions, informed financial consent, and self-funded, WorkCover and third-party payer pathways.
  • Strong verbal and written communication skills, with the ability to build rapport, demonstrate empathy and explain information clearly to patients, families and specialists' rooms.
  • A high level of customer service and professionalism, including the ability to remain calm, accountable and solutions-focused under pressure.
  • Competency in health-related software and patient administration systems, with experience in TrakCare considered an advantage.
  • Excellent organisational skills, time management and attention to detail when handling personal, medical and financial data, together with the ability to work effectively within a multidisciplinary team and commit to a consistent, ongoing roster across the hospital's operating hours.

How To Apply

To be considered, please apply online with your CV and a cover letter outlining how your experience aligns with the selection criteria (above). Please indicate your preferred appointment type (permanent full-time or permanent part-time) and your available hours in your application.

Shortlisted applicants will take part in a phone screening and a panel interview. These conversations are an opportunity to speak about your own experience in your own words, so we ask that responses are not generated using artificial intelligence tools during the call.
